Job Overview
The Alternative Admin is seeking a reliable, high-level Virtual Assistant to manage the day-to-day operations of multiple client accounts. This is an ideal opportunity for an experienced, proactive professional who thrives in a fast-paced environment, enjoys variety, and can confidently manage priorities with minimal oversight.
This role may be filled as one full-time contractor or two part-time contractors for the right candidates.
Position Details
Job Type: 1099 Independent Contractor
Location: Remote
Hours: Approximately 140 hours/month or two part-time schedules
Schedule: Flexible, but responsiveness is essential
About the Role
This is not a traditional 9–5 position. While the schedule offers flexibility, candidates must be dependable and responsive. If a client has an urgent need, you should be comfortable logging in and handling it promptly.
You will begin with a training and transition period working alongside the owner, followed by independent account management during maternity leave, with the potential to grow into a long-term leadership role.
Key Responsibilities
Accounting & Finance
Daily QuickBooks management
Expense tracking and reconciliation
Identify and resolve discrepancies independently
Bill pay support
Statement downloads and organization
Inbox & Calendar Management
Manage office-wide scheduling
Monitor and maintain multiple client inboxes
Flag urgent items and ensure timely follow-up
Coordinate appointments and calendar updates
Event & Travel Logistics
Coordinate meeting invites and webinar registrations
Book and manage travel arrangements
Track itineraries and confirmations
Client Communication
Conduct daily check-ins
Respond to urgent client needs via text or email
Maintain professional, polished communication at all times
Qualifications
Proven experience as a Virtual Assistant, Executive Assistant, or Operations Support Professional
Strong organizational and time-management skills
Ability to multitask across several client accounts
Experience with QuickBooks or similar accounting software
Excellent written and verbal communication skills
Tech-savvy and quick to learn new systems
Self-starter who can work independently and solve problems proactively
High level of discretion and professionalism
Preferred Qualifications
Experience supporting multiple executives or clients simultaneously
Background in a fast-paced or service-based business environment
Familiarity with project management and CRM tools
